Your temporary reservation request will be held for 5 business days from the date the request is made. Requests for land and air reservations are confirmed in the order the deposit is received by V-travel.
If you want to book a tour, you have to fill a booking form which is also a contract between you and ARGO O.E, “V-travel”. Booking forms are enforced by law (339/96 – 90/314/E.U.) concerning “organized travelling and organized holidays and tours”. All persons wishing to make a booking have carefully read and understand the Terms and Conditions that follow. By making a booking by telephone, or on the website www.v-travel.gr, or by email or facsimile with the Company or its Agents, you accept on behalf of yourself and all those named on the booking including minors and person under a disability to be bound by these Terms and Conditions. A booking is accepted and becomes definite only from the date when V-travel sends a confirmation invoice or email. It is at this point that a contract between V-travel and you comes into existence. Before your booking is confirmed and a contract comes into force, V-travel reserves the right to increase or decrease brochure prices. V-travel or its agents reserve the right to decline any booking at their discretion. All bookings are made with V-travel, which sells the tours or packages described in this brochure and on V-travel website or through its “Agents” who sell V-travel’s tours through an agreement with V-travel. These Terms and Conditions shall constitute the entire agreement between V-travel and you relating to the subject matter herein, and shall constitute a binding agreement. There is no verbal or written; representation, warranty, collateral agreement, prior agreement, description of services, or conditions, other than as expressed herein. The service to be provided is/are the tour(s) or packages referred to in the booking confirmation. Conditions of Carriage: All persons wishing to make a booking including any carriage by sea have carefully read and understand these Terms and Conditions, and the Expedition Ticket/Conditions of Carriage. Carriage by road, air or by sea is subject to V-travel’s conditions of carriage that are available on request and are expressly incorporated into this contract. V-travel’s liability for death and or personal injury and/or loss of and/or damage to luggage may be limited by international conventions including the Athens, Warsaw or Montreal Conventions. BOOKINGS
1. A booking is valid only when it is accompanied by the equivalent deposit. V-travel will do everything in its power to satisfy your demands but it cannot ensure to find another person to share a double room for whoever is travelling alone. Therefore, any booking made for half a double room will have to be upgraded to a single room booking or be cancelled.
2. Booking is effected when V-travel accepts from you a completed booking form and payment of the deposit set out in condition
3. The deposit is 30% of the total price for all tours and packages
4. For the payment, you have the choice of paying by cheque, cash, Switch, Draft or credit Card without surcharge.
5. Tailor Made trips or packages may require a higher deposit or full payment at the time of booking. If deposit is different from that outlined in this clause, the requirement will be advised at time of booking and detailed on the invoice. If a mixture of a group tour and a tailor made trip are booked, the most restrictive requirements will apply to the whole booking.
6. On all trips we require travelers over 70 years of age to complete a Self Assessment Form prior to travelling.
V-travel only requires a deposit of €384 to confirm this booking. The remaining balance is then payable 30 days prior to the departure date.
Initial booking deposit 30% of total price per person (It is non-refundable and non transferable) Complete payment is required/ mandatory to process the visa. 100% of the total tour cost required 30 days prior to the departure day. The following payment methods are accepted for V-travel tours:

No additional cancellation fees! You can cancel the tour up to 30 days prior to the departure date and you will not need to pay the full amount for each tour or package, but the deposit is non-refundable.
• If you cancel at least 30 day(s) in advance of the scheduled departure, there is no cancellation fee.
• If you cancel between 15 and 29 day(s) in advance of the scheduled departure, there is a 50% cancellation fee.
• If you cancel within 14 day(s) of the scheduled departure, there is a 100% cancellation fee.
V-travel reserves the right to cancel any tour prior to departure for any reason, if minimum participation is not met or if any other circumstances so warrant. Every effort will be made to accommodate passengers on another tour or at passenger’s option. If V-travel cancels a tour, you may choose between a full refund of all monies paid or any alternative tour offered by V-travel. V-travel is not responsible for any incidental expenses that you may have incurred as a result of your booking such as visas, vaccinations, non-refundable connecting flights or loss of enjoyment, etc. If the alternative tour chosen by you is of a lower value than that originally booked then you are entitled to a refund of the price difference. If the alternative tour chosen you is of a higher price than that originally chosen then you must pay the difference.
A 30.00 € per person fee for each revision, including addition or deletion of services, will be assessed for any changes in air and/or land arrangements (plus supplier’s penalties). Once documents/tickets are issued, changes are not permitted. Revisions fee is in addition to any rebooking fees.
While V-travel will endeavor to operate all tours as advertised, reasonable changes in the itinerary may be made where deemed necessary or advisable by V-travel. If V-travel makes a major change V-travel will inform you as soon as reasonably possible if there is sufficient time before departure. The definition of a major change is deemed to be a change affecting at least one in three full tour days of the itinerary. If the major change is due to force majeure or unforeseen circumstances no compensation is payable. Some changes to the itinerary may happen on tour as a result of unforeseen circumstances or local situations. Any changes made to alter the itinerary as a result will be made with full authority of the Tour Leader and any direct or indirect cost incurred as a result will be your responsibility. grammi CE reserves the right to:
(a) change the date of departure or conclusion of the tour; or
(b) modify any aspect of the tour; or
(c) cancel or modify any routes within the tour or objectives set out in the itinerary; or
(d) substitute different or equivalent routes within the tour in place of cancelled or modified routes; or
(e) postpone, cancel or delay (either in relation to the departure or arrival times or the duration of the tour) any such aspect of the tour; if, in the absolute discretion of V-travel, it is necessary to do so due to inclement weather, snow or icy conditions or conditions that are otherwise likely to be hazardous or dangerous or due to any other adverse or threatening conditions whether political or military or terrorist or otherwise or in the case of any real or perceived health risk (including SARS or bird flu or similar) or if, in the absolute discretion of V-travel, there is a likelihood of any such event occurring which may impact upon the safety of the participants, or if an act or omission of a third party prevents the tour or the aspect of the tour being undertaken in accordance with your booking.
V-travel also reserves the right, in its absolute discretion: to cancel or modify any tour due to any government travel warning or advice, or any change in such warning or advice or to change, at any time, the nominated tour leader of any tour, in which event V-travel will try to ensure that the new tour leader has expertise commensurate with that of the nominated tour leader. Any such change by V-travel will not give rise to a right on your part to cancel the tour or claim any expenses, loss or damage which you may suffer. In the event of any change, modification, cancellation, postponement or delay under this condition, you acknowledge that you will have no right of refund of the tour price (whether in whole or in part) and no right to claim compensation for any injury, loss or damage or other additional expenses incurred by virtue of the change, modification, cancellation postponement or delay. If any such change, whether before or during the tour, necessitates additional costs (including accommodation, flights or ground transportation) to be charged, you agree that you will pay these additional costs as reasonably required by V-travel.
If you are prevented from traveling on the tour you booked by circumstances such as those which would permit you to make a claim on a standard cancellation insurance policy, you may transfer your booking to another person, provided they meet all the requirements relating to that tour and the transfer is made more than 60 days before departure. In these cases an administrative fee of 50 € will apply. Note: airlines may impose 100% cancellation charges. Within 60 days, name transfers are not permitted.
V-travel sells in two currencies: United States Dollar (USD) & Euro (EUR). The currency applied to the Clients booking will be determined by the booking location of the Client, and the matching currency. V-travel reserves the right, however, to apply the currency of their choosing to the booking.
CE guarantee selected departures at their discretion. The departure shall become guaranteed once there is the minimum number of persons confirmed upon it. This guarantee of departure is still subject to force majeure situations, and CE reserves the right to remove the guaranteed designation at anytime due to circumstances beyond reasonable control. CE will not be held accountable for any indirect cost resulting to the client for this action.
Hotels are based on double occupancy in hotels indicated in the itineraries or assigned by local agencies. Single supplement is applied for single occupancy. A limited number of single rooms may be available for an additional charge. Triple accommodation can sometimes be arranged, few genuine triple rooms exist. Invariably to make a triple, a cot or roll-away bed is added to a regular twin-bedded room. Such accommodation is not recommended for three adults, nor is there any reduction in cost offered by the hotels. Triple or single rooms are never guaranteed and no refund will be given if not provided, unless a certificated from the hotel is received by V-travel within 30 days of the tour’s completion. All hotels are subject to change at any time. Substitutions, if any, are similar class to listed hotels. Hotel ratings as per respective governments or local standards, which are sometimes, lower than the US standards.
As indicated in the itinerary, meals are provided from a group menu. Beverages are provided only when they are part of the group menu for each particular meal. Additional items, beverages or refills may be purchased from the waiter. No meal will be provided while on train or during transit. They can be purchased by each passenger on the spots, whenever available. Voluntary non-usage of meal coupons are non refundable and non exchangeable.
Admission fees are included on all tours. Transportation will be by private, air-conditioned new deluxe motor coaches. In some expeditions 4×4 cars are necessary. The buses are comfortable and there will be ample space for all, as we always leave one third of the bus unsold, even when there is a great demand for a particular tour. We never fill a bus to its full capacity, because we care about our client’s comfort.
Transfers are included when specified. Transfers between airports, rail stations, piers and hotels by motor coach/bus are provided only for clients who purchase the entire air and land package from V-travel and do not deviate from the group itinerary. Individual transfers may be purchased from V-travel.
You acknowledge the quality of the products and services, including accommodations, transport and all other services related to the tour that are organized V-travel or its representatives are likely to be different in standard to what you may reasonably expect at home. Further, you understand, appreciate and accept any variance in quality or level of service as a part of the adventure travel experience. All arrangements made by V-travel are done so with best of intentions to match any description provided, however, you reasonably allow for local conditions to influence products and services.
By signing the booking form you agree to accept the authority and decisions of V-travel employees, tour leaders, agents and suppliers during the tour. If, in the opinion of any V-travel representative, your health or conduct appears likely to endanger the progress of the tour or other participants you may be excluded from the whole of, or part, of the tour. In the case of ill-health, V-travel reserves the right to make such arrangements for your well-being as deemed necessary and to recover the whole of the costs thereof from you. If you commit an illegal act V-travel ceases to have responsibility to or for you
For group size of 10 or more participants, your tour manager will meet you at your first point of entry and accompany you through your tour until the last city as indicated in itinerary in our brochures. (Any overnight stopovers, involuntary or otherwise, are not considered the first point of entry). If the group size falls below the minimum required number of participants; the tour will be locally hosted. All tours are locally guided with a minimum of 2 passengers, and we reserve the right to cancel with less than 2 participants.
Baggage allowance differs for the transpacific/transatlantic sections of your tour. Transpacific/transatlantic allowance is two pieces of checked baggage. Maximum weight/size for each piece is 15 kg (sum of three dimensions). One carry-on not to exceed 15 Kg (sum of three dimensions) is allowed. Baggage allowance within most domestic flights is one piece of baggage not over 14 Kg per person, plus a carry-on. Baggage in excess of one piece per person will result in excess baggage fees to be paid immediately upon demand. We strongly recommend baggage insurance as V-travel does not assume any responsibility for loss or damage to baggage or passenger’s belongings. It is at passenger’s risk throughout. Baggage allowance are subject to change, please contact each airline on your itinerary for specifics.
In general, tours are quite active and require a good deal of walking, frequently including stairs. We strongly recommend that you discuss any health concerns regarding these points with your personal physician before you sign up the trip. In order to ensure smooth operations of the tours, our local handling agency requires exclusion of any person whose health condition makes them unsuitable for long trips due to mental illness, serious, chronic or contagious illness, advanced pregnancy, senility or infirmity. In some countries, vaccinations are required. As health requirements change without notice, please check with your personal physician or public health service for current required or recommended inoculations. Additional Assistance: In order to ensure the smooth operation of the tour for all group members, any traveler requiring special assistance must be accompanied by an adult who is responsible for providing all such assistance. Or you may contact V-travel to arrange for appropriate assistance, at an additional cost. Handicap access to some facilities may not be available at the same required levels standard in the U.S. or Europe.
You acknowledge that you will be visiting places where the political, cultural and geographical attributes present certain risks, dangers and physical challenges greater than those present in our daily lives. By booking travel with V-travel, you acknowledge that you have considered the potential risks, dangers and challenges, and expressly assume the risks attendant to such travel conditions. You are solely responsible for acquainting yourself with the customs, weather conditions, physical challenges and laws in effect at each stop along the itinerary and are encouraged to locate or make contact prior to departure with your local embassy or foreign office in each destination. Prior to some tours commencement, you may be asked to sign an Acceptance of Risk form.
You must be in possession of a valid passport required for entry, departure and travel through each destination point along the itinerary of the tour, (your passport must be valid 6 months after your return date), and be in possession all visas, permits and certificates including vaccination certificates, insurance policies, required for the whole of the journey. You accept full responsibility for obtaining all such documents, visas and permits, and is solely responsible for any adverse consequences resulting from missing or defective documentation. Any information or advice given by V-travel regarding visas, vaccinations, climate, clothing, baggage, special equipment, etc. is purely advisory, provided as a courtesy to you, and V-travel is not responsible for any errors or omissions as to the information provided.
V-travel acts as a tour operator and agent. The suppliers that provide transportation, conveyance or accommodations are independent contractors and are not agents or employees of V-travel. All tickets, coupons and receipts issued by V-travel and all arrangements for transport, conveyance or accommodations are made by V-travel as agent of the suppliers. By utilizing the services of suppliers, you agree that neither V-travel nor any of its officers, directors, employees, subsidiaries or affiliates shall be liable for any injury, damage, loss, accident or delay incurred by you or those traveling with you in connection with any accommodations, transportation, conveyance or other services of whatsoever nature resulting directly or indirectly from any acts or default of the suppliers or from any occurrence or condition, including but not limited to defects in vehicles or vessels, breakdown in equipment or the negligence of their operators. V-travel, its employees, officers, directors, subsidiaries or affiliates also shall not be liable for any injury, damage, loss, claim or accident resulting directly or indirectly
(i) from delays, cancellations or changes in flights, itineraries, schedules or other services of any nature whatsoever,
(ii) from strikes, theft or other criminal acts, war, terrorism, computer problems, sickness, weather, quarantine, lack of appropriate medical facilities or any other causes of any nature whatsoever or
(iii) from acts or omissions of any Government, its local subdivisions, bureaus or authorities. All tour itineraries and fares may be affected by alterations or delays in air or surface transportation services of the various countries. V-travel reserves the right to withdraw any tour and to make such alterations in the itineraries which, in its sole discretion, it may find desirable for the convenience of the parties or the proper operation of the tour. V-travel reserves the right to decline, to accept or to retain any person as a member of the tour party at any time.
There will be no discounts or monies refunded for missed or unused services, this includes voluntary or involuntary termination, i.e. sickness, death of a family member, etc. Your booking is accepted on the understanding that you acknowledge that the nature of some tours is adventurous and may involve a significant amount of personal risk. V-travel’s obligations, and those of any suppliers providing any service or facility you book with us, are to provide services and facilities with reasonable care and skill. Facilities will be provided to the realistic minimum standard recommended by the regulatory authorities responsible.
V-travel shall not be liable in any way to the Client for death, bodily injury, illness, damage, delay or other loss or detriment to person or property, or financial costs both direct and indirect incurred, or for V-travel’s failure to commence, perform and/or complete any duty owed to you if such death, delay, bodily injury (including emotional distress or injury), illness, damage or other loss or detriment to person or property is caused by Act of God, war or war like operations, terrorist activities or threat thereof, civil commotions, labor difficulties, whether or not V-travel is a party thereto, interference by authorities, political disturbance, howsoever and where so ever any of the same may arise or be caused, riot, insurrection and government restraint, fire, extreme weather or any other cause whatsoever beyond the reasonable control of V-travel. V-travel does not accept liability in the case of any passenger being denied boarding by any airline carrier due to the carrier’s over-booking of a flight.
A crucial obligation of the clients participating in group tours is to arrive on time for the scheduled event during the tour. The lack of punctuality may force the tour leader to depart with the rest of the travelers to undertake the rest of the journey. In this case the traveler(s) left behind will miss the rest of the tour or portion of it and will have to travel by his (their) own means. V-travel will refuse to refund any services used by the traveler(s) that was not offered in the tour package or by the company. The clients are personally and exclusively responsible for the issue and safe-keeping of all the necessary travelling papers (passports etc). In the case of illness, the tour leader will make every possible effort to deal with the situation. However, if the aforementioned illness causes problems to the continuation of the journey, the tour leader will continue the scheduled program with no further delay with the rest of the group after warning all the authorities in charge (i.e: Consulate, hospital, etc.).
At the time of booking, V-travel will forward you a medical questionnaire to be completed by either you or your doctor. The medical questionnaire must be completed by your doctor if
(a) you have any pre-existing medical condition; or
(b) the tour you have selected is graded challenging, strenuous or mountaineering; or
(c) you are joining an Arctic or Antarctic voyage You must return the medical questionnaire, signed by your doctor, at least 2 months prior to departure. If you suffer from severe muscular, chest, heart or bronchial disorders, are a severe asthmatic or have high blood pressure, you are strongly advised against taking the tour. If it is required that your doctor complete the medical questionnaire and you fail your medical, a full refund of the amount paid will be given providing that V-travel has received your completed medical questionnaire within 14 days after booking. Whilst V-travel does not discriminate by age, mountaineering tours are not recommended for persons over 60 years of age. Some tours generally take place in remote areas where there is little or no access to normal medical services or hospital facilities for serious problems. Where necessary, evacuation can be prolonged, difficult and expensive. Medical and evacuation expenses will be your responsibility. V-travel reserves the right in its absolute discretion to refuse you the right to participate in a tour on medical or fitness grounds.
The prices in this brochure are land only. All rates published are per person as indicated and are based on double occupancy when only one rate is shown. Reservations will be accepted subject to availability at the time of a request and will be considered confirmed only upon receipt of a minimum deposit. Child land rates are available and are valid for ages 5-12, sharing a room with two full paying adults. We reserve the right to impose surcharges (price increases) up to 30 days before departure due to unfavorable changes in exchange rates, increases in air fares or other transportation costs, increases in local operator costs, taxes, or if government action should require us to do so. If any surcharge results in an increase of more than 10% of the tour cost excluding insurance premiums you may cancel the booking within 14 days of notification of the surcharge and obtain a full refund.
V-travel strongly advices you to obtain travel insurance. It is mandatory that you obtain travel insurance with a minimum coverage of 150,000 € or 100,000 € while traveling with V-travel and this insurance must cover personal injury, medical expenses, repatriation expenses, and evacuation expenses. It is strongly recommended the coverage be extended to include cancellation, curtailment, loss of belongings and all other expenses which might arise. Make sure the insurance covers all the activities that you will be undertaking during your trip such as trekking and climbing. If a client becomes ill, all hospital expenses, doctors’ fees and repatriation costs are the client’s responsibility. Where you have declined to purchase insurance through V-travel, you acknowledge that the cost of the tour does not include insurance, and that you are required to obtain separate coverage at an additional cost. When obtaining travel insurance from a source other than V-travel you must ensure the insurer is aware of the type of travel to be undertaken. Finally you agree that it is your responsibility to check the adequacy and validity of any insurance policy effected by or on your behalf and to provide V-travel with a copy of your policy prior to departure.
To ensure tour arrangements are fully protected, all money received as payment for tours or packages booked with V-travel is deposited in a Trust Account with National Bank of Greece. The V-travel Client Trust Account is bound by regulations and independently audited. Money is held in Trust until the tour is completed or the services comprising the tour have been paid for by the Company.
The prices in this brochure and website are based on rates and costs in effect at time of printing the brochure or posting on the website. V-travel reserves the right to alter prices.
You appreciate and acknowledge the nature of this type of travel requires considerable flexibility and should allow for reasonable alterations by the V-travel. The itinerary provided for each tour is merely representative of the types of activities contemplated, and V-travel is under no contractual obligation to strictly follow it. It is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events, which may include sickness or mechanical breakdown, flight cancellations, strikes, events emanating from political disputes, entry or border difficulties, extreme weather and other unpredictable or unforeseeable circumstances or any other reason whatsoever.
Any tour change from the original schedule will be 50€ per person per change. Participants wishing to remain after the end of the tour may request assistance in reserving hotel accommodations for the extra nights. Hotel accommodations during the high season of travel is based on availability only. The participant (s) will be responsible for payment to V-travel prior to tour departure. V-travel cannot arrange group rates for these extra nights, and all prices quoted are subject to change. The participant is responsible for any penalties due to the hotel for cancellation of reservations. Airline reservations are not guaranteed for extended tours.
Optional extras do not form part of the tour or contract. It is understood and accepted by you that any assistance given by the tour leader or representative in arranging optional extras does not render V-travel liable for optional extras. Amongst others optional extras include rafting, sightseeing flights and other extras not included in the tour price.
If you have a complaint against the V-travel, you must first inform the tour leader at the earliest opportunity to allow the grievance to be rectified. If satisfaction is not reached, contact the V-travel representative or local Office Manager whilst on tour in order that V-travel is provided the opportunity to rectify the matter. Failure to indicate dissatisfaction whilst on tour will result in your ability to claim compensation from V-travel being extinguished or at least reduced. If satisfaction is still not reached through these means on tour then any further complaint must be put in writing to V-travel via it’s Agents or directly to head office at email@example.com or ARGO O.E – V-travel, Customer Service Department, 47 M. Dimtsa, Kozani 50100 Greece within 7 days of the end of the tour. The Company will not accept any liability for claims received after this period.
Any claims for refunds must be submitted in writing and received by V-travel in its headquarters: Kozani, Greece within 14 days and must be made through the agent from whom the tour has been purchased. All unused travel documents must be returned with claims. No claims request will be considered after that date. Please allow a minimum of six (6) weeks to process a claim. Refund requests for absences or unused services are not granted. A 50.00 € procession fee will be charged for refunds.
